Job Description:
--SUMMARY--An individual in this position will support the Vice
President of Resource Management and will work with Human Resources
and Safety to achieve the overall Resource Management Department
goals and objectives. This will be accomplished by the exercise of
their skills to perform various administrative duties as required
to support the departments objectives.-- The Administrative
Assistant for Resource Management will also be required to perform
basic clerical tasks as needed to support Human Resources.--
Perform other related work as required. --REPORTING
RELATIONSHIPS--The administrative Assistant for Resource Management
will report directly and fully to the Vice President of Resource
Management.--This person may also at times receive direction for
some projects from the Human Resource Manager and the Safety
Director as authorized by the Vice President of Resource
Management.--The Administrative Assistant for Resource Management
has no supervisory responsibilities.--ESSENTIAL FUNCTIONS--An
employee in this position may be required to perform any or all of
the following essential functions.Provide administrative assistance
for the Vice President of Resource Management as well as the Human
Resource Manager and the Director of Safety.Prepare and distribute
various reports as needed.Assist in overall correspondence.Assist
in the research and development of new programs and
procedures.Perform basic clerical tasks as needed to support Human
Resources, Safety and Recruiting.\Process weekly payroll.Perform
other related tasks as directed by the Vice President of Resource
Management.RESPONSIBILITIES AND DUTIESProvide administrative
assistance for the Vice President of Resource Management as well as
the Human Resource Manager and Director of Safety.Organize and
maintain various recurring activities of the department management
team.Assist in the preparation of Driver Appreciation eventsAssist
in the preparation of Employee Appreciation eventsAssist in the
organization and distribution of team responsibilities so that
assets are effectively used.Prepare and distribute various reports
as needed.Prepare and distribute departmental reports for Senior
Staff Meetings.Prepare and assist in the filing of reports, records
and other forms to Government Agencies.May prepare and issue
certificates, vouchers and applications.Assist in the preparation
of Driver Advisory Board minutes, notes and agendas.Assist in
overall correspondence.Assist in the research and development of
new programs and procedures.Compile notes and general information
as provided by the Vice President of Resource Management.Assist in
the presentation of information, documents, etc. as needed
including the preparation of said forms, documents and
reports.Compile statistical data and prepare reports.Help to
establish procedures for new programs and run said programs until
they are assigned to departmental employees.Assist in the continued
development and execution of employee retention programs.Perform
basic clerical tasks as needed to support Human Resources, Safety
and Recruiting.Assist in the preparation and filing of all Driver
related filesPersonnel filesDOT filesMedical filesDriver History
Investigation FilesCoordinate the Substance Abuse ProgramFile
periodical reports to the consortium.File all Substance Abuse
reports in Medical Files.Run the Driver Random Test
ProgramCoordinate the Employee/Workers Comp ProgramPrepare and file
all periodic OSHA ReportsFile and maintain all injury reports and
Workers Comp reportsAct as daily contact for Insurance
ProviderAssume-- injury On Call responsibilities as neededAssist
with daily Recruiting ResponsibilitiesAssist in the preparation of
various recruiting brochures and materialsLog in and assist with
recruiting calls as neededMonitor ChatPrepare for and perform
employee orientations as neededAssist the Safety Department with
administrative supportMaintain accident spread sheetsMaintain and
administer driver safety bonus and awards programsAssist in
preparation of and maintenance of training materials and
records.Process weekly payroll for all drivers and
non-drivers.Perform other related tasks as directed by the Vice
President of Resource Management.QUALIFICATIONS AND KSAS FOR
EMPLOYMENT--All of the following functions, qualifications, KSAs
(Knowledge, Skills, and Abilities) and duties are essential.-- An
employee in this class, upon appointment, should have the
equivalent of the following:Ability to assemble data and prepare
accurate records and reports.Ability to understand and follow oral
and written instructions.Ability to work effectively with other
employees (regardless of position) and the general public.Ability
to understand the relationship between various components of/and
forms used in the compiling, computing and recording of
data.Ability to maintain confidential information.Ability to
communicate effectively in person and via written
communication.Above average ability to assimilate information
related to procedures routine to this position.Above average
ability to troubleshoot problems and offer viable solutions.Above
average ability to organize personal work, schedules and overall
departmental planning.Above average PC-- skills with an emphasis
and proficiency using MS XP, Word and Excel.Minimum experience of 2
years--in an office environment.--Associates degree or higher is
helpful but not required with acceptable experience.--
